These sheets have no constants. Every number is worked from the figures you enter: the fields on your intake form, the required ones, the seconds a client spends on each, your new clients a month and how many never send it back, your session fee, your clinicians, sessions, working weeks, no-show rate and clinician split, your rent and software, and the minutes a note takes. The notes written late

30% on the worked example is 910 notes written after the day they belong to, usually at a weekend, from memory. That is a records quality problem before it is a time problem, and it is what a template and a five-minute end-of-session habit actually fix.

Is seven minutes realistic?

It is one practice's figure. Time five of your own notes end to end, including finding the file, and use that.

Does a template make notes worse?

Not if the fields are the ones the profession expects. It makes them faster and more consistent, and it stops the note that says session as before.

What about dictation?

It helps some clinicians a great deal and others not at all. Measure it the same way: time five notes with it and put the number in the sheet.
